Trackument is a California-based HR documentation tool designed for K-12 school districts. References to "we," "us," or "Trackument" in this policy refer to the operator of trackument.com. For questions about this policy, contact us at privacy@trackument.com.

3. Pseudonymization — how we protect employee identities

Before any document content is transmitted to our AI service, Trackument automatically replaces identifying information with neutral placeholders:

The AI generates the document using these placeholders. Real names and dates are restored in your browser after generation. The AI service never processes real employee or administrator names.

This pseudonymization process happens entirely within your browser using JavaScript before any network request is made. It is not a server-side process — it cannot be bypassed or disabled by server configuration.

4. How we use AI services

Trackument uses the Anthropic Claude API to generate HR documentation. When you use AI-powered features (Analyze Citations, Generate Impact Draft, Generate Document), the following information is transmitted to Anthropic:

Anthropic's data handling: Under Anthropic's Commercial Terms of Service, customer content transmitted via the API is treated as confidential information and is not used to train Anthropic's AI models. Anthropic's Data Processing Addendum (DPA) with Standard Contractual Clauses is automatically incorporated into their Commercial Terms. 5. FERPA and student information

Trackument is a tool for documenting employee conduct and performance. It is not designed to process student education records as defined by FERPA. Administrators should not enter student names, student ID numbers, or other personally identifiable student information into Trackument.

To the extent that conduct descriptions incidentally reference students, administrators should use general descriptors (e.g., "a student on the route" rather than a student's name). Trackument's pseudonymization system does not automatically detect or replace student names.

Trackument is used by authorized school officials acting within their legitimate educational interest in employee supervision and discipline. Use of Trackument by authorized district personnel for employee documentation purposes is consistent with FERPA's school official exception.

All data transmitted between your browser and our servers is encrypted using TLS (HTTPS). Employee names and other identifying information are pseudonymized before transmission as described in Section 3. We do not store document content on our servers.

No method of transmission or storage is 100% secure. We encourage administrators to use Trackument on secured, district-managed devices consistent with their district's acceptable use policies.

California residents have rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. 11. Children's privacy

Trackument is a professional tool intended for use by school district administrators and HR professionals. It is not directed at children under 13 and we do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a revised effective date. For material changes, we will provide notice through the application or by email where possible.
